Through the SEAtS student mobile app, recording your attendance is as quick as a tap – simply go to your timetabled room, check into the app to mark your attendance and you're all set to go

Below we have included answers to some frequently asked questions in regard to the app and how to use the app to mark your attendance.

Downloading the app

How do I download the app?

You can download the app by searching for "SEAtS Mobile" in the Apple App store and the Google Playstore or through the buttons below :

If you are unable to download SEAtS Mobile App to your device, our security policies may be blocking installation of the app.  Please contact the IT Service Desk on +44 (0)20 7040 8181, or online through the IT Service Desk.

I have downloaded the app, how do I log in?

When using the SEAtS app for the first time, you will be asked to enter an email address. Please enter your legacy email address (Firstname.Lastname@city.ac.uk) and your respective password.

This will then prompt you to log in through a "Single Sign On" page (SSO). Again, please enter your legacy email address (Firstname.Lastname@city.ac.uk) and your respective password. Once you have completed this and gone through the relevant authentication process, you will have successfully logged into the app.

Are there any specific settings I need to apply when using the app?

When using the app, there are three settings you will need to apply:

1.  Wi-Fi

The app needs to be connected to Wi-Fi in order to accurately record and update your attendance. Across our campuses, we have free Wi-Fi available to all our current students via Eduroam.

2.  Bluetooth and Location settings

The app checks you in through the use of Bluetooth and Location, so it is pivotal you allow the app access to this.

When using the app for the first time, you will be prompted to grant the app access to your Bluetooth and Location. If these settings are not switched on when using the app, you will not be able to mark your attendance.

3.  Notifications

Allowing notifications from the SEAtS app makes checking in easy  (a simple click) and helps ensure you arrive to class on time.

Within the app you can also amend when you receive the check-in reminder, however we recommend you set this reminder for 15 minutes before class. You can do so by:

Open the app > Click "More" in the bottom right hand corner of the screen > Click "Settings" > Choose "15 minutes before class" in the dropdown.

4.  Attendance % includes optional classes

Within the app, you will need to change the setting to include your optional classes into your overall attendance percentage. You can do so by:

Open the app > Click "More" in the bottom right hand corner of the screen >  Click "Settings" > Turn on the "Attendance % includes optional classes" setting.

Checking into class

How do I check into my session?

You are required to register your attendance by checking into the Student Mobile app at the start of all your timetabled activities.

Ensure your Bluetooth and location is turned on in order to check in.

When you enter the room, go close to the centre of the room. Open and refresh the app by pulling down the top of the screen, then select your timetabled session.

The app will then connect your location via bluetooth, and once successfully checked in, you will see a green tick appear on screen- this means your attendance has been recorded.

I can't see my timetabled session in the app. What should I do?

The SEAtS app will refresh the timetable on the app every day when you first open it.

If you can't see your session, refresh the app by pulling from the top of the screen down before checking into class. If you still cannot see your session, notify your teacher so they can mark your attendance and email Urdang@citystgeorges.ac.uk about the issue before your class finishes.

Is anything different if I’m sponsored on a student visa?

The process for recording attendance is the same but it is extra important to register your attendance if you’re a sponsored student on a student visa. UK Home Office policy means we are required to regularly check you are engaging with your studies.

If you do not meet the attendance and engagement requirements, your visa status could be at risk. Please ensure you are clear on the attendance requirements by referring to your programme handbook and checking the guidance for International students,

How do I view my overall attendance?

When logging into the app, you will be taken to your home page which will include your overall attendance percentage score. This is calculated out of the total percentage attendance for each module added together and divided by the number of modules that you are scheduled to attend for the selected period.

What happens if I check into the mobile app for attendance before the session starts?

You can check in up to 15 minutes before the timetabled start of all classes except for your singing lessons.

For singing lessons, you can check in up to 5 minutes before the timetabled start.

What If my phone Battery dies, or I forget or lose my phone?

If your phone battery has died, or you forget or lose your phone, please report it to your Programme Tutor or Lecturer, and course office by emailing Urdang@citystgeorges.ac.uk at the time of the timetabled session to ensure your attendance can be recorded manually. You must do this by the end of your session.

What if I attended a class, but forgot to check into the mobile App?

Remember you are responsible for ensuring your attendance is recorded. However, if you forget to check in at the start of class, then please contact your lecturer and Course office by emailing Urdang@citystgeorges.ac.uk to let them know, you must do this by the end of your session.

Lecturers aren’t obligated to update your attendance, but it is good practice to let them know. Please remember to check in at all your scheduled sessions.

Lateness, absence & low attendance

I can’t make a class, what should I do?

If you know you are going to be absent for a number of days or weeks, for any reason, you must get permission beforehand via the authorised absence form on the Seats App. To do this:

1.  Click the ‘Requests’ section at the bottom of the app

2. Click the blue plus (+) icon

3. You will be directed to submit a new request, select ‘Absence’

4. Fill in the form accordingly and press ‘Send’

Authorised absences are only granted for appointments with proof of appointment card/ letter or formal evidence. Authorised absences will not be granted until proof is seen. Acceptable reasons for absence can be found in the Urdang code of conduct.

Once an Authorised absence has been granted the attendance calendar will be updated and you will not need to contact the college on the day(s) of the Authorised absence. you will be recorded as Authorised absence.

If you are unable to attend a class, for any reason and have not been granted an Authorised absence prior to your date of absence, you will be marked as absent.

If you have not been granted an Authorised absence you must phone Finsbury Town Hall reception to inform Urdang of your absence and the reason why. Sending an email or leaving a voicemail is not acceptable.

I have an approved authorised absence but still attended class, how will my attendance be captured?

You will be marked as attended on your app if you still check in and attend class despite an authorised absence.

I had an emergency during class and had to leave early, what does that mean for my attendance?

If you fall ill, are injured or suffer an emergency which requires you to miss or leave class early you must get permission from one of the following members of staff:

  • Programme Director
  • Treatment Manager
  • Head of Street & Commercial
  • Head of Vocational Studies
  • Senior Course Officer
  • Course Officer

No other member of staff can authorise absences. The staff member will then issue you a permission slip for the specific class, decline the authorised absence, or send you home and record the attendance as an Authorised absence.

Following permission being granted, you still need to complete the Authorised absence form on the Seats App.

If you leave early or miss a class without first speaking to a designated member of staff you will be marked as absent and may face disciplinary action.

Would I still be able to register my attendance if I am late?

You can check in up to 5 minutes after the timetabled start of your class. After 5 minutes you will be marked as late. However, please note if you are not permitted to enter if/once the class has started, you will be marked as absent. You will not be able to check in after 15 minutes.

For singing lesson you can check in up to 5 minutes after the timetabled start. You will not be able to check in after 5 minutes, however as there is no late attendance status – you will be marked as absent.

If you arrive after your ability to check in or the class has already started and are therefore late, you must phone Urdang reception and explain the reason for your lateness.

What happens if my attendance is low?

Attendance is compulsory for all classes, students who fall below 80% attendance without an Authorised absence or mitigating circumstances will face disciplinary action.

I have received an email regarding low attendance, I know I attended, what should I do?

When you check into the app, please check that your attendance is confirmed as attended.

If you know you have attended a session and checked in correctly via the app but are still receiving emails about being absent in error, please let the Course Office know by emailing Urdang@citystgeorges.ac.uk.

What happens if I check into my session via the app and then leave the session?

Attending scheduled teaching is an essential part of your learning, which is why City St Georges keeps track of student attendance for course activities like lectures and seminars.

Falsifying attendance records can lead to disciplinary procedures laid out in Senate Regulation 13: Student Disciplinary. We would consider whether it may be academic misconduct if you gain an academic advantage (e.g. someone checking in to gain marks for a module where attendance is one of the methods of assessment). These cases would be assessed via the Academic Integrity and Misconduct policy.

Students who are seen to be checking into a lesson and leaving, will have their records manually amended and may be issued a warning, following which there could be disciplinary action taken against you for violating our policies.

If your student records are manually amended to reflect your absence, you could fall below your courses attendance threshold.  For students who are on a sponsored student visa, it is also important to note that if there are continued concerns linked to your engagement and attendance, you risk losing your student visa. We encourage all students to attend and participate in their schedule activities to make the most of your time and learning while studying at City St Georges.

Can I check into a session I am not registered to be in?

You will not be able to check in if you are not allocated to that class, so please make sure you are attending the classes you have been specifically allocated to.

Troubleshooting

I’m having issues with my timetable, who do I contact?

If you’re having issues with your personalised timetable, or don’t think it is correct such as a missing module, please contact your Course Office by emailing Urdang@citystgeorges.ac.uk or the Programme Office team.

For all other issues with your timetable, you should contact the IT Service Desk on +44 (0)20 7040 8181, or online through the  IT Service Desk.

What to do if the mobile app isn’t working?

If the Mobile App is not working, please report it to your Programme Tutor or Lecturer, and Course office by emailing Urdang@citystgeorges.ac.uk at the time of the timetabled session to ensure your attendance can be recorded manually. You must do this by the end of your session.
